School ERP vs Simple School Software: Which Does Your School Need?
Walk into any education technology exhibition and you will encounter vendors at two extremes: simple, affordable tools that do one or two things well, and comprehensive ERP systems that promise to manage every aspect of school operations. Most schools need something in between — but how do you know where you fall?
What Is a School ERP?
ERP stands for Enterprise Resource Planning. In a business context, an ERP integrates all core processes — finance, HR, operations, supply chain — into a single system. A school ERP applies the same concept to education: it aims to manage fees, academics, HR/payroll, inventory, transport, library, communication and analytics in one platform.
True school ERPs are typically expensive, complex to implement, and require significant IT infrastructure. They are designed for large institutions — university groups, national chains of schools, or government school networks.
What Is Simple School Software?
At the other end of the spectrum, simple school software focuses on one or two functions — often just fee tracking or report card generation. These tools are inexpensive and easy to use but quickly hit their limits as a school grows or needs more integration.
The most common example is a school that uses one system for fees, another for academics, a third for communication, and a spreadsheet for everything else. Data is duplicated, errors multiply, and staff waste time switching between systems.
The Middle Ground: Integrated School Management Systems
For most Kenyan schools — from a 200-student primary to a 1,500-student secondary — the right answer is an integrated school management system that covers all core functions without the complexity and cost of a full ERP.
The key word is integrated. A good system connects fee management, student records, academics, communication and payments in a single database. A payment updates the fee record, which triggers an SMS, which links to the parent portal. Nothing needs to be entered twice.
When Does a School Need a Full ERP?
Consider a full ERP only if your school has:
- More than 3,000 students across multiple campuses
- A significant HR and payroll operation requiring integration with academics
- Complex inventory management (large boarding schools with farms, workshops, etc.)
- A dedicated IT team to manage and maintain the system
For schools below these thresholds, an ERP is over-engineered and the complexity typically does more harm than good.
The Right Questions to Ask
- Does the system handle Kenya-specific requirements (M-Pesa, CBC, local bank formats)?
- Can it grow with us — from 300 to 1,000 students without a system change?
- Is there a local support team who understands Kenyan school operations?
- Can we see all the features we need in a live demo before committing?
